Purchasing & Inventory Specialist

Summary: This position coordinates activities involved with procuring of Maintenance, Repair and Operations (MRO) goods and services such as equipment, tools, parts and supplies for the Utah plant and manages inventory levels.   Maintains the IPC computer PM and work order tracking software.

Essential Job Functions:

  1. Researches vendors, establish pricing, research product quality, negotiate freight terms and lead time for product.
  2. Searches continuously for improved and/or less costly materials and supplies within the classification assigned.
  3. Works with engineering standards, manufacturing and cost improvement groups for new designs, materials and suppliers.
  4. Makes recommendations for new or different materials or revised designs which are better quality or can be obtained at lower cost.
  5. Determines what products are ordered on a constant basis and set up blanket orders with vendors.
  6. Administers the procedure to accommodate emergency purchases.
  7. Contacts vendors to order parts or equipment.
  8. Obtains purchase order number from purchasing department and assigns identifying number.
  9. Examines stock to verify conformance to specification and purchase order.
  10. Stores articles in bins, on floors or shelves, according to identifying information, such as style, size or type of material.
  11. Coordinates the shipment of returns and repairs.
  12. Maintains parts crib clean, neat and organized.
  13. Labels and tickets all items as they are received.
  14. Prepares periodic, special or perpetual inventory of stock.
  15. Maintains accurate inventory and other stock records using computer or paper records.
  16. Maintains custodial supply inventory.
  17. Identifies critical spare parts and ensures proper inventory.
  18. Fills orders or issues supplies from stock.
  19. Moves or transports materials or supplies to other departments using hand truck or other methods.
  20. Assists in providing solutions to production issues as to type of product to best solve a problem.
  21. Prepares requisitions to replenish stock items and supplies.
  22. Communicates and follows up with vendors on purchase orders and related issues.
  23. Assists in researching new items or vendors for best price, delivery or other criteria.
  24. Verifies purchase requisitions for completeness and proper authorization.
  25. Enters purchase orders into TMM and places orders with vendors.
  26. Works with the Purchasing Specialists at the other locations to negotiate company-wide pricing with common vendors.
  27. As needed, handles the MRO purchasing for the other locations when the Purchasing Specialist for that location is out of the office.
  28. Responsible for small package receipt and distribution of package(s) to proper department or employee in a timely manner.
  29. Maintains maintenance records of plant equipment including such items as auxiliary equipment, plant facilities, production machines, machine tooling, machine repairs and setup sheets.  
  30. Maintains record of material issued, including tracking parts used.
  31. Creates work orders in IPC computer system as they come in through email requests.
  32. Closes out completed work orders in IPC computer system.
  33. Files original completed work orders in appropriate binders and file printed copy from IPC Computer system that states it was completed in the file cabinet under the appropriate file folder.
  34. Enters into IPC computer system inventory any receipts for parts and materials purchased for maintenance and repair.
  35. Creates, prints and sorts out monthly PM's at end of month for the upcoming month.
  36. Receives all purchase orders in TMM and file in appropriate.
  37. Inputs into IPC computer system any new monthly/weekly/daily PM's that need to be created and create binders for filing, if needed.
  38. Calls any vendors/dealers/etc. to schedule appointments or to check on status on something out for repair as requested by the Technical Manager.
  39. Issues parts and supplies to staff upon request and keep track of these consumable items.
  40. Maintains work order and PM maintenance software for Utah facility, mold shop and production equipment.
  41. Ensures that the proper paperwork is completed and processed correctly.
  42. Responsible to ensure that the suppliers are being paid in a timely manner
  43. Maintains regular and consistent attendance.
  44. Miscellaneous tasks, projects, and responsibilities as requested.


  1. High School degree or equivalent.
  2. Must have 2 to 4 years prior experience or training in a related field or manufacturing environment.
  3. Technical knowledge preferred (manufacturing machinery, mold shop machinery, machine parts).
  4. Must have computer experience, to include Microsoft Word, Excel and Access.
  5. Must be able to take direction and communicate in English as well as read and understand written documents, such as safety rules, operating and maintenance instructions, and procedure manuals.
  6. Must be able to use and understand simple mathematics, using addition, subtraction, fractions and decimals.
  7. Must have the ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form.
  • In an 8-hour shift while performing this job, the employee may sit, stand or walk.
  • Physical activities include lifting, reaching, pushing, pulling, bending and twisting.
  • Floor lifts of 1-50 lbs. are performed occasionally.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, and depth perception
