Quality Systems Administrator

Location: Milford, CT

The Quality Systems Administrator is a new position responsible for supporting the implementation and improvement of Quality Management System (QMS) applications and related technology at Inline Plastics Corp. This position is also responsible for QMS activities involving data analysis, workflow design, configuration, integration, administrative tasks, maintaining system security, end-user training, issue identification, troubleshooting, and maintenance of any interfaces with other corporate enterprise systems. The IPC QMS consists of: Data Acquisition and Analysis, Corrective and Preventive Actions, Document Control, Supplier Quality Actions, Production Forms, Instrument Calibration & Maintenance Tracking, Customer Complaints, Internal Auditing, etc. This position also improves, implements, and maintains the process for records management, document control, and change control through a comprehensive electronic filing system.

Essential Function/Duties and Responsibilities

  • Develop and execute creative solutions to elevate Quality Management Systems into world-class status
  • Initiate, facilitate and/or manage projects to expand and enhance processes within eQMS
  • Manage on-premise and hosted software solutions. Manage changes to systems and interact with Quality personnel to improve processes and troubleshoot issues within the systems
  • Create, administer, and maintain training programs for Quality Systems, documentation procedures and change control. This role requires strong communication skills and patience to teach and influence individuals at all levels of the business
  • Manage a Document Change Request process (DCR), and the Document Control electronic database. Create and maintain electronic QMS documentation including administrator and user SOPís, functional specifications/user roles and training materials
  • Provide notification to potentially impacted organizations when specific systems and documents are updated or when required document reviews are due
  • Generate standard reports and KPIs for internal and external use
  • Assist with the implementation of current Good Manufacturing Practices (cGMPs) and Good Documentation Practices (GDPs) related to food contact packaging, and aligned to any compliance and regulatory requirements
  • Ensure software solutions meet service level agreements with internal and external users
  • Maintain availability beyond normal business hours to provide phone technical support
  • Flexible hours may also be occasionally required to support second shift training
  • Configure process flows for development, testing, and production environments in accordance with approved protocols and scripts
  • Receive, support, and respond to information requests from internal and external sources
  • Maintain and schedule system improvements/upgrades while eliminating downtime
  • Integrate electronic QMS with external systems (ERP, Salesforce, etc.) using application tools and custom programming for additional functionality, as required
  • Availability to travel 2-5 weeks per year is required
  • This role may expand to include responsibilities within other electronic information systems

Education and/or Experience - Bachelor's Degree in Computer Science, Engineering, Business Administration or related.  Minimum of 2 - 5 years applicable experience in a related field.  Working knowledge of software programs - Microsoft Office 365, Word, PowerPoint, Excel, SharePoint, and MS Project.  ERP and Minitab experience is a plus.

Skills / Competencies - Ability to read, analyze and interpret technical documentation, business documents, technical processes and procedures, and industry standards, models and regulations. Strong organizational skills with a demonstrated ability to proactively take initiative and complete tasks in a timely manner.  Can effectively lead Change Management efforts.  Excellent oral/written communication skills.  Good problem solving skills, analytical and statistical problem solving tools.  Strong teamwork and interpersonal communication skills with the ability to work well with both technical and non-technical personnel, and influence the direction of projects.  Self-starter and the ability to plan and organize workload under minimum supervision
